Privacy Policy
How we collect, use and protect player, club and account data across the platform.
Last updated: 1 July 2026
1. What This Policy Covers
This policy explains how Handicap Management ("we", "us") collects, uses and safeguards information when a golf club, society, association, tournament organiser or individual golfer uses our handicapping platform.
2. Information We Collect
We collect information you provide directly and information generated by using the platform:
- Account details, name, email, phone number and organisation name when you register or log in.
- Player and score data, names, gender, handicap indexes, gross and net scores, course and tee selections, and round dates submitted by organisers or players.
- Billing information, plan selection and payment details, processed by our third-party payment provider; we do not store full card numbers.
- Usage data, pages visited, device and browser type, and general interaction data collected automatically to keep the platform reliable.
3. How We Use It
We use collected data to calculate and display handicaps accurately, run public and private group leaderboards, process billing, respond to support requests, and improve platform reliability and features.
4. Public Leaderboards and Sharing
Organisers choose whether a group is public or private. Public groups display player names, current handicap index and round history via a shareable link, without login. Private groups are restricted to a group-specific PIN. Organisers are responsible for confirming they have appropriate consent from their members before making a group public.
5. Data Sharing
We do not sell personal data. We share data only with: service providers who help us run the platform (hosting, payment processing, email delivery), and authorities where required by law.
6. Data Retention
Account and score data is retained for as long as your account is active, so handicap history remains accurate and auditable. You may request deletion of your account data at any time, subject to records we're required to keep for billing or legal purposes.
7. Your Rights
Depending on your location, you may have the right to access, correct, export or delete your personal data. To exercise any of these rights, contact us using the details below.
8. Security
We use industry-standard safeguards, including encrypted connections and access controls, to protect account and player data against unauthorised access.
9. Changes to This Policy
We may update this policy from time to time. Material changes will be reflected by an updated "Last updated" date on this page.
10. Contact Us
